SAMPLE MANAGEMENT
DatStat's CATI provides interviewers with the ability to prioritize all calls based on defined calling rules. Priority may be assigned based on such factors as interviewer attributes (e.g. gender, education level, and language proficiencies), participant attributes, the number of calling attempts, and the time zone of the participant. Administrators may specify which attributes and calling rules to apply on any particular survey. Some interviewer and participant attributes are not known ahead of time, but are determined through the course of an interview.
All attributes, whether known ahead of time or determined during a call, can be utilized by the Administrator to delegate the calls to the appropriate interviewers. Administrators may also override calling rules to assign cases to an interviewer or group of interviewers as needed. To facilitate efficient calling by interviewers, DatStat's CATI provides each interviewer with the participant information for the next phone number to call, eliminating a decision process for the interviewer. The delivery of each case can be done based on an algorithm or a randomization process.
INTERVIEWER MANAGEMENT
A necessary component of any large-scale interview process is the monitoring of interviewers. DatStat's CATI allows for the monitoring of interviewers through a variety of Interviewer Reports. These reports provide information on productivity (based on response rates and status codes), call disposition information (e.g. number of completes per hour per interviewer), call efficiency information (e.g. number of dials per hour, percent of calls resulting in contact) and interviewer ratings (e.g. ranking of interviewers based on ability to convert refusals). These interviewer reports can be exported from the system for supervisor review.
Interviewer characteristics and attributes are also logged and utilized to determine the most appropriate interviewer based on known respondent information. Some of these characteristics are pre-known, such as age, gender, language preference. Other characteristics are determined through the course of the study, such as participant refusal rate, conversion rates, etc.
CALL MANAGEMENT
DatStat Discovery™ includes advanced call management features to handle a high volume calls. On every outbound call information is noted by the system or logged by the interviewer including the number called, disposition, date called, time of day, outcome status, the identity of the interviewer and any additional notes the interviewer wishes to add. Call back windows can be specified (e.g. weekday mornings), and these windows are utilized to determine calling rules. Inbound calls can be directly routed by an Administrator, overriding the participant queue to assign the participant to the most appropriate interviewer.
Once a call has been made, interim and final disposition codes are recorded. Interim and final disposition codes are recorded, with the ability to log multiple completion codes if needed. When call-backs must be made, the interviewer may specify a specific date and time for the call appointment or indicate a call back window.
STUDY MANAGEMENT
Although survey, sample, interviewer and call management are each necessary components for a CATI system, a successful system must be able to integrate these systems to provide overall study management. DatStat's CATI accomplishes this goal by providing a singular, secure website to manage each of these components. The system generates and manages the interviewing queue based on specified calling rules, Interviewers are matched to appropriate samples, the surveys are made available to the interviewers, and data regarding the entire process are available for view, query and download. The entire process is managed within the singular application.
From a reporting perspective, DatStat's CATI allows for the generation of real-time reports on:
- The number of participants available to phone during specific time blocks
- Sample characteristics
- Quota fulfillment
- Call Disposition, including eligible and ineligible participants
- Response rates (status code dependent)
The system is securely protected through the use of designated user logins and passwords. Users are assigned distinct roles and permissions which determine the views of participant information and contact history available to them.
